How we use your information.

DYNAMIK ELECTRICAL LTD (company number 15379951, registered office 29 Greenaleigh Road, Birmingham, B14 4HY; trading from 14 Buckingham Street, Birmingham, B19 3HT) is the controller of the personal information described here. This notice explains what we collect, why, how long we keep it and your rights under the UK General Data Protection Regulation and the Data Protection Act 2018.

What we collect and why

When you enquire

Your name, email address, phone number, the kind of premises and what you tell us about the work, sent through the form on this site, by email or by phone. We use it to answer you, to arrange a visit and to prepare a quotation. The lawful basis is that this is necessary to take steps at your request before entering a contract (Article 6(1)(b)).

When you become a client

Contact details, the site address, access arrangements, purchase orders, invoices and payment records, and the technical records of the work: drawings, test results and certificates. We use them to carry out the contract, to invoice, and to meet our legal obligations, including keeping accounting records for HMRC and keeping the test and certification records that the standards and the Regulatory Reform (Fire Safety) Order 2005 expect to exist. The lawful bases are the contract (Article 6(1)(b)) and legal obligation (Article 6(1)(c)).

When we remind you of a test falling due

We keep the dates on which each system we installed or inspected needs its next test, and we write to you before each one. The lawful basis is our legitimate interest in maintaining the systems we are responsible for and yours in staying compliant (Article 6(1)(f)). You can ask us to stop at any time.

When you visit this website

Our hosting provider records the IP address, the page requested, the time and the browser in its server logs for security and to keep the site running, and deletes them on a rolling basis. The site sets a session cookie needed for the contact form to work, which expires when you close your browser, and, once you have answered the cookie banner, a cookie that remembers your answer for a year. If you accept, Google Analytics 4 sets its own cookies and tells us which pages are read, from which towns and on what devices, with IP addresses truncated; we use it to improve the pages, not to build advertising audiences, and the advertising signals are switched off in the tag. If you decline, or until you answer, no Google script stores anything on your device. You can change your answer from "Cookie settings" in the footer. The map on the contact page is loaded from OpenStreetMap; when it loads, your browser sends OpenStreetMap your IP address in the ordinary way, under the OpenStreetMap Foundation privacy policy.

CCTV systems we install

Where we install a CCTV or access control system, the footage and the access logs belong to you, the operator of the premises, and you are the controller of them. We do not have access to them after handover unless you ask us to connect for maintenance, in which case we act on your instructions. The Information Commissioner publishes guidance on operating CCTV lawfully, and we point every client to it.

Who we share it with

  • Our email and IT providers, who process it on our behalf.
  • Our accountants, for the records the law requires us to keep.
  • A manufacturer or specialist subcontractor, only where the work needs it and only what the work needs.
  • HMRC, a court or a regulator, where the law requires it.

We do not sell personal information and we do not share it for marketing.

How long we keep it

  • An enquiry that does not become a job: 12 months, then deleted.
  • Client contact and contract records: for the life of the relationship and 6 years after the last job, which is the period HMRC and the Limitation Act expect.
  • Certificates and test records: 6 years, or longer where the building owner asks us to keep the history of a system.

Your rights

You can ask for a copy of the information we hold about you, ask us to correct it, ask us to delete it where we no longer need it, object to our using it for reminders, and ask us to restrict how we use it. If you are not satisfied you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.

Changes

If this notice changes, the date at the top changes with it. Material changes will be mentioned to current clients by email.
